What the caretaker or cleaner needs to know for a day, in one place: each booking’s room and times, when the room is theirs from and must be cleared by (the room’s setting-up and clearing-away times), how it should be laid out, roughly how many people, the extras to put out, the booking’s notes, and faults still not fixed.

See it on the Job sheet screen (under The building), a day at a time, and print it; in the committee app from the Today screen; or have it emailed each evening for the next day to whoever needs it — the caretaker and cleaner need not be committee members or have a login. The screen, the printout and “email it now” are in every plan; the automatic evening email is on the Standard plan.

Layouts. Hirers choose how they would like the room laid out — rows of chairs, round tables, long tables, a clear floor — on the website’s booking form and in their app, and you can set or change it on the Bookings screen. Switch the question off if your hall does not lay out rooms for hirers.

Door codes and hirers’ contact details are never on it.

For example: At 6pm on Friday the caretaker gets Saturday’s sheet: Main Hall 2pm-6pm, the Henderson party, about 60 people, round tables, Kitchen and 10 trestle tables to put out, room theirs from 1pm and cleared by 7pm. And a reminder that the light in the gents is still not fixed.

Only bookings that are going ahead are: confirmed, invoiced or paid. An enquiry is on it once you confirm it.
