Several halls

For a parish council, trust or charity that runs more than one building — the village hall, the pavilion, the old school room. One HallPro for all of them.

Each hall has its own rooms, opening hours, closures, safety checks and keys. Hirers are shared, because people hire more than one building. The money is shared too: one set of invoice numbers and one set of payment details, the organisation’s, with each invoice naming the hall that was hired.

Each committee member can be given just the halls they look after, on the Committee screen. They then see those halls and nothing else — bookings, invoices, deposits, compliance, keys, the annual report, the calendars and the phone app — and get compliance reminders only for those halls. Things that belong to the whole organisation, like the charity’s annual return, are shown to everybody. The website’s administrator always sees every hall.

Once there are two halls, a Showing choice at the top of the menu lets anybody look at one hall at a time. It only ever narrows what they see.

On the public website, [hallpro_booking_page hall="Brookfield Pavilion"] shows just one hall’s rooms, so each hall can have its own page. Without it, the rooms are grouped by hall.

The first hall is free; more halls are on the Premium plan.

For example: Ashcombe Parish Council runs the village hall and Brookfield Pavilion. The pavilion’s key holder is given just the pavilion: she sees its bookings and its fire checks, gets its reminders, and never the village hall’s. The clerk sees both, and one set of invoices goes out under the council’s name, each saying which building was hired.

Questions people ask

What happens to what we already have?
It all belongs to your first hall, which is named after the website to start with. Rename it on the Halls screen. Nothing moves until you move it.

Can a room move to another hall?
Yes: edit the room and choose the hall. Its bookings go with it, and follow the new hall’s opening hours from then on.

Somebody can no longer see something they need.
Tick that hall for them on the Committee screen. Somebody who looks after only some halls cannot give anyone access to the others, and cannot change people who look after more halls than they do.

Can each hall have its own invoice numbers or bank account?
No. HallPro treats the halls as one organisation’s, with one set of books, which is how a council or trust’s accounts work. Each invoice names the hall.
