Committee roles

Without roles, only whoever looks after the hall’s website can open HallPro. That works for a hall run by one person, and not for a committee.

With roles, each committee member can sign in with their own WordPress account and see just their part: the treasurer the invoices and payments, the booking secretary the diary, the key holder compliance, the duty rota and the key log. The chair gets all of it, so the committee can set itself up without borrowing the website login.

Being listed on the committee does not let anybody in. Each person’s Access box has to be ticked, one at a time, and it starts unticked.

Licensing and demo data always stay with the website’s administrator. Roles are on the Premium plan.

For example: Ashcombe’s treasurer signs in and sees the Dashboard and Money, and nothing else: no bookings to move by accident, no compliance reminders that are not hers. The key holder sees the building side and the week ahead, so he knows when to unlock.

Questions people ask

Why can the treasurer not open Bookings?
So the money and the diary are kept apart: the treasurer sees who hired what on every invoice, but cannot move or delete a booking. Invoices for finished bookings raise themselves if automatic invoicing is on, and the booking secretary or chair can raise one by hand.

Somebody does two jobs.
Add them twice, once for each role, and tick Access on both. They get both parts.

What happens if we stop paying for Premium?
Committee members lose access straight away and the website administrator keeps everything, exactly as before. Nothing is deleted, and the ticks are remembered if you come back.

Can they use the phone app?
Not yet. The app is still for the website administrator only. Roles cover the HallPro screens in WordPress.
