Bookings

A booking is a room, a hirer, a date, a start time and how long for. You pick the start and the duration rather than a finish time, because that is how a hall is actually hired — “two hours on Tuesday evening” rather than “18:30 to 20:30”.

While you are filling it in, HallPro shows what else is on that day and refuses anything that clashes, naming who already has the room. It also refuses times outside your opening hours, and anything falling in a closure.

An enquiry is a request that has not been agreed. Anything that comes in through the public form or the hirers’ app arrives as one, so nothing ends up in the diary without a committee member saying yes.

For example: A hirer asks for the Main Hall on Saturday 14th, 14:00, for four hours. It comes in as an enquiry. The booking secretary sees the Scouts have the Committee Room that afternoon but the Main Hall is free, confirms it, and the invoice goes out after the event.

Questions people ask

Why can I not pick a finish time?
Because a duration cannot run past closing time by accident, and a finish time can. You choose from the lengths that actually fit, and the finish time is worked out for you.

A regular books the same slot every week.
Make it a series. One booking, repeated, and HallPro checks every date in it for clashes before creating any of them.

Somebody cancels. What happens to the invoice?
A cancelled booking is not invoiced, and an invoice already raised is left for you to decide about. HallPro will not credit or delete money on its own.
