Customer statements
Finance → Statements lists every customer who owes money, worst first. View shows the statement exactly as they will get it, Print prints it for the post, and Send emails it as a PDF. After sending you stay on the list.
Statement shows chooses what is on it:
- All transactions — every invoice and payment, oldest first, with a running balance.
- Outstanding only — just the invoices still owing, with what has been paid on each, plus a line for any money paid on account. It comes to the same balance.
The default, used by automatic statements too, is under Settings → General → Customer statements. The logo is the one on Finance → Invoice template, or your business logo from Settings, and How to pay is boxed at the foot.
Example
A customer has six months of visits and payments and owes £35 on the last two invoices. Outstanding only sends them a short statement with just those two lines, instead of a page of history.
FAQ
Why is my logo not on the statement?
From 2.771.104 it is, on screen and in the PDF. It uses the logo set on Finance → Invoice template, or the logo under Settings → General if none is set there.
Which should I send, all transactions or outstanding only?
Outstanding only is shorter and easier to act on. All transactions answers “what have I paid?” questions. Both end on the same balance.
Where do I see the statements I have sent?
Under Statements sent at the bottom of the Statements page: when each went, to whom, the balance it showed, and whether you or the schedule sent it. View and Print show the statement exactly as it was sent; Send again sends the customer their statement as it is today.
