Recurring invoices

A recurring plan raises the same invoice for a customer on a schedule – weekly, fortnightly, monthly, quarterly or yearly – from the Next issue date. Plans are checked once a day; the Recurring invoices list shows when the next check is, and Check now runs it straight away.

Ends sets when it stops: never, after a number of invoices, or on a date. The plan shows the date the last invoice will be raised.

The status, top right of the plan:

  • Active – running. An invoice is raised each time the next issue date comes round, and emailed if the plan says so.
  • Paused – you unticked Active. Nothing is raised until you tick it again; the schedule picks up from the next issue date.
  • Ended – the plan has raised every invoice it was set up for (its number of invoices, or its end date has passed) and switched itself off. Give it more invoices or a later end date and tick Active to carry on.

Every invoice a plan raises is listed at the bottom of the plan, with View, Print and Send.

Example

A customer books four weekly visits paid weekly. A plan set to Weekly, ending after 4 invoices, shows when the last one will be raised, raises them one by one, then shows Ended.

FAQ

What is the difference between Paused and Ended?
Paused is your choice: you switched it off and can switch it back on. Ended means it finished on its own, having raised everything it was set up to raise.

When exactly is an invoice raised?
At the first daily check on or after the next issue date. Press Check now on the Recurring invoices list to run it at once.

How do I resend one of the invoices?
Open the plan and use Send next to the invoice in Invoices raised. View and Print open the invoice as the customer sees it.
