Door codes

For a hall with a key safe or a keypad lock: HallPro keeps the code, emails it to each hirer a set time before their hire (24 hours unless you change it), and reminds the key holders to change it after the kinds of hire you choose.

Each email has the code and your instructions for getting in — where the key safe is, how the dial turns, where the key goes back. The hirer can also see it on their booking in the customer app, from when it is sent until the hire ends.

A regular group booking every week is told once, and again only when the code changes. If you change the code after somebody was sent it, they are sent the new one before their hire.

After a hire by a kind of hirer you have ticked under Change the code after — one-off parties and commercial hirers, to start with — the code is marked due for a change, a note appears on the Dashboard, and the key holders and chair for that hall get an email each day until the new code is entered here.

HallPro does not talk to the lock. Somebody changes the code on the key safe, then types the new one in here.

The code is never written to the audit log and is hidden on screen until somebody asks to see it. On the Premium plan.

For example: The Hendersons’ party is on Saturday at 7. At 7 on Friday evening they get an email with the code, 4721, and “the key safe is on the wall to the left of the main door”. On Sunday morning the key holder gets a reminder, changes the safe to 8053, types it in, and the Brownies — who were sent 4721 on Thursday for Monday — get 8053 on Sunday evening without anybody thinking about it.

Questions people ask

Why not send it when the booking is confirmed?
Because the code may well have changed by then. Sent the day before, it is the code that will work.

Our regular groups have their own keys.
Untick them under Send it to. HallPro then never sends them a code, and their hires never mark it due for a change.

Does it work with a smart lock?
It keeps and sends whatever code you enter, so yes, if the lock has one code at a time. It does not set codes on the lock itself.
