Equipment and maintenance

A register of the hall’s equipment on Equipment (under The building): the boiler, the fire extinguishers, the defibrillator, the stage lights, the tables. For each: where it is, make and serial number, when it was bought, what it would cost to replace (the total is there for the insurer), how often it is serviced and by which contractor.

Servicing. The next service goes on the Compliance screen with the usual reminders. Press Serviced when it is done and the next date moves on. The Contractors tab keeps who does what, with their phone and email.

Weekly checks. Mark a defibrillator (or anything else) for weekly checks: the screen shows when it was last checked, “All well” or “Problem” records a check in one press, and the job sheet reminds the caretaker when one is due. Its pads and battery expiry dates go on Compliance too.

Faults can say which item they are about, so each item’s page shows its history of checks, services and breakdowns.

For example: The defibrillator on the outside wall is checked every Monday by the caretaker, prompted by the job sheet. Its pads expire in March, and the chair is reminded in February. The boiler is serviced every October by the gas engineer listed under Contractors.
