Hall events

The hall’s own events: the Christmas quiz, a film night, the summer barn dance. Add one on Hall events (under Bookings) with its room, times, ticket price (and a second price for children or concessions, if you like) and how many places. Its room is booked in the diary straight away, so nobody books a party over it, and it is never invoiced.

Put it On sale and it appears on your events page ([hallpro_events], or “Make the events page for me”) and at the top of What’s on. People buy tickets by card through your Stripe account, or reserve and pay on the door if you allow it; for a free event they simply book a place. Each gets an email with a six-letter ticket code. A card order holds its places for half an hour while it is paid for.

On the night, open the door list: on the Hall events screen, or in the committee app from the Today screen. Search a name or code and tap Let in (or Paid, let in for somebody paying on the door). Tickets sold on paper can be added to the list so the numbers are right.

Ticket money is not hire income: each event shows what was paid online and what is due on the door. Refunds for card payments are made in Stripe.

For example: The Christmas Quiz: Main Hall, 7pm-10.30pm, £8 a ticket, children £4, 80 places, pay by card or on the door. It sells 72 places. On the night, the treasurer ticks teams in on her phone at the door and takes £96 from those who reserved.

Questions people ask

Can we sell tickets without Stripe?
Yes: allow “reserve and pay on the door”, or make the event free. Card sales need Stripe, set up on Invoicing & Payments.

We have to cancel the event.
Set it to Cancelled: its room is freed. Email the ticket holders from the door list, and refund card payments in Stripe.
