End-of-hire checklist
The sheet on the back of the door — lights off, heating off, bins out, doors locked — in the hirers’ app. From the moment their hire starts until a few days after it, the booking has a Finish up button: they tick the list, say if anything was broken, damaged or not done, and can send up to three photos.
What they send is kept with the booking. You see it on the Bookings screen (the list says “Checklist done” or “Problem reported”) and beside their damage deposit on the Damage deposits screen, so you have their own word, and their pictures, before deciding whether to keep any of it.
When something is reported or not ticked, the committee members for that hall are emailed, and those with notifications on get “Problem reported at end of hire” on their phones.
Write your own list on the Customer App screen, one line each. It is only in the hirers’ app, so hirers without it are not asked.
For example: At 11pm after the party, Mrs Henderson ticks five of the six lines, leaves “Fridge emptied” unticked, and adds “a chair leg snapped” with a photo. The key holder sees it on her phone before breakfast, and the treasurer sees the photo beside the £100 deposit.
Questions people ask
Can it be filled in before the hire?
No. It opens when the hire starts: a checklist ticked at home the night before is one nobody did.
Where do the photos go?
Into the website’s media library, named after the booking, and linked from the booking and the email.
