Extras
Extras are the things a hire can come with — the kitchen, stage lighting, the PA, tables and chairs. Each has a price, per booking or per hour, and can be limited to how many the hall has.
Hirers choose them with the booking: on your website’s booking form, in the hirers’ app, or you add them on the Bookings screen. The price is shown as they choose, and each extra goes on the invoice as a line of its own, so the hirer can see what the room cost and what the extras did. VAT is added the same way as on the room.
How many the hall has: with one PA system, two bookings at the same time cannot both have it. A hirer asking for something already taken is told so. On the Bookings screen the committee can still promise it, and is warned.
With several halls, an extra can belong to one hall or be offered in all of them. “Stop offering” takes it off the list without touching bookings that already have it.
For example: The Hendersons book the Main Hall for a Saturday party, tick the Kitchen (£15 a booking) and ask for 10 trestle tables (£1 each, the hall has 20). Their invoice reads: Hire of Main Hall £60, Kitchen £15, Trestle tables × 10 £10.
Questions people ask
We change the price of an extra.
New bookings get the new price. Bookings that already have it keep the price they were booked at.
Is the kitchen a room or an extra?
If people hire it on its own, a room. If it only ever goes with the hall, an extra — it then costs nothing to leave off and the hall itself stays one booking.
