Conditions of hire

Your conditions of hire are the rules every hirer agrees to: who is responsible for the hall during the hire, what happens about damage and deposits, noise, alcohol, clearing up, and so on. Write them once here.

They appear on the enquiry form on your website, folded above the box a hirer ticks to accept them. Until you write them, the form does not ask anybody to accept anything.

Every time you change the wording, HallPro saves it as a new version and keeps the old one word for word. Each hirer’s record shows which version they accepted and when, so you can always answer “what did they agree to?”.

For example: The committee adds a rule about the new kitchen in November. That becomes version 3. Ashcombe Yoga accepted version 2 in March, so the Hirers screen shows them on an older version until they tick to accept the new one.

Where do we get wording from?
Your county’s rural community council (the ACRE network) publishes model conditions of hire for village halls, and your insurer may have its own requirements. Start from those rather than from a blank page.

We only fixed a typo. Is that a new version?
Yes. Any change to the words makes a new version, because with terms it is not always obvious which changes matter. Saving without changing anything does not.
