The newsletter
A monthly email to people who sign up on your website, on Newsletter (under Community). On the Standard plan.
Signing up. Put [hallpro_newsletter_signup] on a page of your website: a name, an email address and a button. ModuleFest HallPro emails a link to confirm, so nobody can sign up someone else, and only those who press it get the newsletter. You can also add someone who asked on paper or in person; tick the box to say they asked. Do not add hirers or anyone else just because you have their email address.
What is in it. ModuleFest HallPro writes it from what it already knows: the hall’s events with tickets over the next six weeks, the regular groups on What’s on and when they meet, and how the fundraising campaign is going, with links to book tickets, give, and see everything on. Add a note from the committee at the top. Choose what goes in, and the words at the end, in Settings.
Sending it. Press Show me to see it, Send a test to me to see it in your own email, then Send. It goes out a few dozen at a time, a few minutes apart, so your website’s email is not swamped; the page shows how far it has got. With ModuleFest HallPro Pro, tick Send it by itself and choose a day of the month: it goes on that day with your usual note, unless one has already gone that month.
Stopping. Every newsletter has a Stop getting it link, and email programs show their own unsubscribe button, which works at once. The link asks before it stops anything, and offers to start again. Under Who gets it, see who is subscribed, waiting to confirm or unsubscribed, since when, and whether they did it or you did. You can unsubscribe anyone by hand, and subscribe them again if they ask. Sign-ups not confirmed, and people who stopped, are deleted after 30 days. Download everyone as a spreadsheet at any time.
For example: Ashcombe puts the sign-up on its website and a poster with a QR code in the shop. By the spring, 140 people get the newsletter. On the 1st of each month it goes by itself: the quiz night and the plant sale with links to tickets, the yoga, art club and Brownies with their times, and the roof fund at 62%. Quiz night sells out a week early.
Les questions qu’on nous pose
Nothing arrives, or it goes to spam.
Send a test to yourself first. If it does not arrive, your website’s email needs setting up: most hosts recommend an SMTP plugin with your email provider. The same fixes every email ModuleFest HallPro sends.
How many can we send to?
ModuleFest HallPro sends 40 every three minutes, about 800 an hour. Some hosts limit how many emails a website may send each hour; ask yours if you have more than a few hundred people.
Is this allowed under data protection law?
Yes, when people have asked for it, as the confirmation email proves. Use the addresses for the newsletter only, and remove anyone who asks. The privacy policy text ModuleFest HallPro suggests says so.
Why is a group missing?
Only groups that have chosen to be listed on What’s on are included, with bookings in the next five weeks.
