Get paid: invoices, recurring billing & P&L
The end-to-end money flow — from raising an invoice to seeing your profit.
1 Set your tax & numbering Settings → Invoicing: name your tax (VAT/GST/Sales Tax), set a default rate and tax number, an invoice prefix and payment terms (days).
2 Set your categories On the same tab, list revenue categories (e.g. GRM | Grooming) and expense categories — these drive the reports.
3 Raise an invoice Invoices → Add: pick the client, add line items (Description | qty | unit price), set the due date and category. The total and tax calculate automatically.
4 Send it Use “Email invoice” — the client gets a message with a link to a secure portal page. It also marks the invoice as sent.
5 Client views & pays On the portal they see the invoice and pay with any method you’ve enabled — card, PayPal, custom link, or bank transfer. Card payments mark themselves paid.
6 Automate the regulars Recurring invoices → Add: set the client, items, frequency and next date. Each day, due plans generate an invoice (optionally emailed automatically).
7 Chase the late ones Overdue invoices are flagged automatically and a reminder email goes out, repeating weekly until paid. Edit the wording on Settings → Messaging.
8 Record expenses Expenses → Add: date, amount, category and supplier. Do this as you go so your profit figure stays accurate.
9 Read your numbers Finance reports: revenue, outstanding invoices, and a profit & loss by category — grouped by month, quarter or year.
