Guide 35
- Certificates Record every certificate you issue and attach the PDF from your certificate software or app. TradePro works out the expiry, reminds you and the customer before it runs out, and one click books the renewal as a job. Landlords get…
- Customer groups A group is a description, not a list: “postcode starts BS”, “last visit more than a year ago”, “has an overdue invoice”. TradePro works out who is in it every time it is used — on screen, on the customer…
- Customer portal A page on your website where customers see their visits, quotes, invoices and certificates, and can ask for a new visit. They sign in with a link emailed to the address you hold for them — no passwords. Only customers…
- Customers One record per person or business you work for. The address here is used for a job unless you give the job its own, which is handy for landlords with several properties. For example: A letting agent is one customer.…
- Demo data Demo data fills TradePro with a small heating and plumbing business: customers, a week of jobs, quotes, invoices and stock. Everything it adds is marked as demo, so Remove takes it all out again and leaves your own records alone.…
- Diary A week at a glance, Monday to Sunday. Click any job to open it. Jobs without a date are listed underneath so nothing gets forgotten.
- Engineers Each engineer gets their own login and sees only their own jobs in the phone app. Assign a job to someone from the job screen, and filter the diary by engineer. You stay the only one who sees money, quotes…
- Expenses and mileage Keep what you spend on the business, with a photo of each receipt, and your business miles. Each expense goes under the same heading as on the HMRC self-employment tax return, so at the end of the tax year the…
- Exports for your accounts Download your invoices, payments and expenses for a period in the format your accounting software imports, so nothing has to be typed in twice. Pick the dates, press the button for your software, then follow the import steps shown under…
- Forms and checks Make your own forms: a risk assessment before work starts, a checklist at the end, a handover the customer signs, a daily van check. Engineers fill them in on their phone in the staff app, with photos and a signature,…
- Getting started TradePro keeps your customers, jobs and diary in one place on your own website. Fill in your business details, add a customer, book a job into the diary, then put the enquiry form on your Contact page so new work…
- Import and export Bring your customers or your price list across from a spreadsheet or your old software: save it as a CSV file, upload it, and match its columns to TradePro’s. You can download everything in TradePro as CSV files at any…
- Invoice design Choose how your quotes and invoices look: a layout, your logo and colour, the font, which columns show, and your bank details and terms. The preview on the right updates as you go and shows exactly what customers will see.…
- Invoices Raise an invoice from a finished job, from an accepted quote, or from scratch. It gets the next number (INV-0001, INV-0002…), which never changes. Email it and the customer can view and print it online. Mark it paid when the…
- Job profit and timesheets See what each job really made. Time is recorded when an engineer taps “I’m on site” and then “Job done” in the app; parts used from stock count at what you paid for them; expenses and purchase orders put against…
- Job templates Save the jobs you do often, with the usual details, how long they take and the lines you charge. When you start a new job, pick the template and it fills itself in. A quote for that job starts with…
- Jobs A job moves from Enquiry to Booked in once it has a date, to On site, to Done. Cancelled jobs stay on record but leave the diary. TradePro warns you when a new booking overlaps another one. For example: Boiler…
- Maintenance plans Sell yearly care as a small monthly Direct Debit: steady money every month, and customers who stay with you. Customers join from your website or you add them; they set up the Direct Debit on GoCardless’s own secure pages, paid…
- Messages to customers Reach each customer the way they prefer: email, text message or WhatsApp. TradePro can confirm bookings, remind people the day before, chase unpaid invoices and ask for a Google review, all by itself, in your own words. Everything sent is…
- Newsletters Build an email newsletter from blocks (headings, text, pictures, buttons, price lists and more), see it exactly as customers will, then send it now or schedule it. Pick who it goes to: customers who ticked “Happy to receive news and…
- Online booking Customers book themselves in from your website: they pick what they need, see the days and times you are free, and fill in their details. The job goes straight into your diary. You can ask for a deposit by card…
- Planning board The whole team’s week on one screen: each person is a row, each day a column. Drag a job to another day or another person to move it; it keeps its start time. Jobs still to book in wait in…
- Plans and licence TradePro on its own is free for ever. Standard adds card payments, the invoice designer, texts and WhatsApp, and a customer portal. Premium adds engineers, the staff phone app, route planning, compliance certificates, reports and newsletters. Paid features need TradePro…
- Purchase orders Order parts from your suppliers with a proper order number, emailed from TradePro. When the delivery comes, press “Received” and the parts go into stock where you choose, onto the job if the order was for one, and into your…
- Quotes Build a quote from lines — pick stock items (their price fills in) or type any text — send it, and the customer opens it from the email and presses Accept or Decline. You see the answer here and get…
- Repeat visits For work that comes round regularly — window cleaning every 4 weeks, a garden every fortnight, a landlord’s annual service. Set it up once and the jobs appear in the diary by themselves, a few weeks ahead. Change or cancel…
- Reports Reports answer questions about your business from the jobs, quotes, invoices, certificates and stock already in TradePro. Open the library, pick a subject such as Money or Jobs, and click a report to see the answer, with a chart where…
- Route planner Pick a day and an engineer. “Suggest an order” puts the jobs in the order that keeps driving short, starting and ending at your base postcode (Settings). Tick “Re-time the day” to move the start times to match, with travel…
- Service reminders For work a customer needs again after a while: an annual boiler service, a gas safety check, a five-yearly electrical inspection. TradePro emails the customer a few weeks before it is due, asking them to book. When you book the…
- Settings Your business name goes on every email. Tick VAT registered only if you are; quotes and invoices then add VAT at the rate you set. The working day sets the hours shown in the diary.
- Staff phone app Your engineers open the app on their phone, sign in once and add it to the home screen. They see their jobs for the day in order, tap to call the customer or navigate, mark themselves on site and done,…
- Statements and late payment charges A statement lists every invoice a customer still owes on one page, with what has been paid and what is left, so they can pay it all in one go. Print it or email it from the customer’s record. When…
- Stock Keep track of parts and materials wherever they live — the van, the lock-up, the garage. Add your items once, then book deliveries in, move stock between places, and record what you use on each job. Materials used on a…
- Website enquiry form Add the shortcode [tradepro_enquiry] to any page, usually Contact. Each enquiry creates (or matches, by email address) a customer and an Enquiry job, and emails you. The service list comes from Settings. For example: Edit your Contact page, add a…
- Your diary on your phone Copy your private calendar link into Google Calendar, Apple Calendar or Outlook and your booked jobs appear there next to everything else. Your calendar app checks for changes by itself, usually every few hours (Google can take up to a…
