Crédito de alquiler y vales regalo

Money the hall holds for a hirer until they book, on Hire credit & vouchers (under Money). On the Standard plan.

Bundles. Set up to four offers in Settings, such as “pay 90, get 100”. When a hirer buys one, choose them, choose the bundle and how they paid, and press Add credit. The same form takes money paid in advance with no discount: choose Another amount and put the same figure in both boxes.

Gift vouchers. Give the value, who it is for and from, and a message, then print the voucher (or save it as a PDF to email). Each has a code like HP-7K3Q-9XWD. When the person books, type the code under Use a gift voucher and choose them as the hirer: the value becomes their credit. Vouchers last a year unless you change that in Settings.

Using credit. On the Invoices screen, an unpaid invoice for a hirer with credit has a Use hire credit link. If the credit covers the invoice it is paid; if not, the credit is taken off and the rest is still to pay, and the emailed invoice shows both. With ModuleFest HallPro Pro, credit is taken off each invoice as it is made, including group bills.

Every hirer’s credit is a running list of what went in and out, so it can always be checked. Corrections and refunds are made from the hirer’s list. The annual report shows what was sold in bundles and vouchers, and the credit still held.

1 Set your bundles In Settings at the bottom of Hire credit & vouchers: what is paid and the credit it buys.
2 Sell credit Choose the hirer, the bundle and how they paid, and press Add credit.
3 Make a voucher Give the value, who it is for and a message, then print it.
4 Use the credit With ModuleFest HallPro Pro it is used as invoices are made; otherwise use the Use hire credit link on Invoices.

For example: The Tuesday yoga group pays 180 for the spring term and gets 210 of credit. Each week’s invoice of 14 is paid from the credit as it is made. At Christmas, a couple buy their daughter a 50 gift voucher for her party; in March she books the Main Hall, quotes HP-7K3Q-9XWD, and pays only the rest.

Lo que nos suelen preguntar

Is credit income?
It is money received, but not yet earned: the hall still owes the hire. The annual report lists it apart from hire income, with how much is still held, so your examiner can see both.

Can a hirer buy a voucher online?
Not yet. Take the money as you usually do, then make the voucher here.

A voucher has expired. Can we still honour it?
Yes. Open the hirer’s credit and add the amount as a correction, with the voucher code as the reason.

A hirer is leaving and wants their credit back.
Open their credit, choose Refund, and take off the amount you pay back. Their balance goes to nothing and the list shows the refund.

What if we charge VAT?
The invoice’s tax is worked out on what is still to pay after credit. If you are VAT-registered, check with your accountant how to treat credit and vouchers you sell.
