The Weekly Rota shows your 7-day volunteer duty schedule — one column per day, Monday to Sunday.

Reading the calendar

• Today — highlighted with a dark green header
• Day badges — each day header shows “3 ✓” (filled) and/or “⚠ 2” (unfilled) counts
• Green slot card — all required volunteers are assigned
• Amber slot card — the slot needs more volunteers

Week coverage bar

The stats strip at the top shows Total / Filled / Unfilled counts and a colour-coded progress bar: green ≥80%, amber ≥50%, red below 50%.

Managing slots

• + Assign — opens a modal to pick a volunteer for an unfilled slot. An email notification is sent automatically
• ✏️ Edit slot — in the day’s Manage slots panel, the pencil button lets you change a slot’s start/end time, role and notes
• × button — removes the slot from the rota
• + Add slot — the dashed button at the bottom of each day column creates a new slot. You can change the date on the slot before saving, so you are not tied to the column you clicked
• ⚡ Bulk generate… — creates one slot per active rota role for every day of the week in one click
• ✉ Send reminders — emails volunteers about their upcoming duties. A small pop-up lets you choose the scope in one step: Today (the default), a specific date (pick it from the date box), or the next 7 days

Volunteer status labels

Each assigned volunteer shows a coloured pill: Confirmed (green), Assigned (amber — not yet confirmed), Declined or No Show (red).

Common questions

How does a volunteer confirm their duty?

Volunteers log in to the club website and visit the page with the [pvl_my_rota] shortcode. This shows their upcoming duties with a Confirm button. Once confirmed, their status changes to green on the admin rota.

How does bulk generate work?

Click ⚡ Bulk generate… in the toolbar. Pavilion creates one slot per active Rota Role for every day of the selected week, using each role’s default session and volunteers-needed count. Then use + Assign to fill each slot.

Can I navigate to a different week?

Yes — use the ← Prev / Next → buttons in the toolbar, or pick a date and click Go. The calendar always shows the full Mon–Sun week containing your chosen date.
