Rapporter

Reports (under Committee) answers questions about the hall from its own records: how many hours each room was booked, month by month; who owes what; how many tickets each event sold; which faults are still open. On the Standard plan.

The library. Reports come in a catalogue sorted by subject (bookings, money, hirers, community, the building, the committee), with two dozen ready-made ones to start with. Search them, star the ones you use most, and open any one to see it as a table or a chart. Export it as a spreadsheet (CSV or Excel) or a PDF for the committee pack.

Build your own. On Build a report, choose what it is about (bookings, invoices, donations, faults and so on), tick the columns you want, add conditions (“status is confirmed”, “starts this month”), group it (by room, by month, by hirer type) and total it (count, sum, average). A preview shows the first fifty rows as you go. Choose a chart if you want one, save it to a category, and it is in the library for everyone who can see Reports.

On the dashboard. Pin a report’s chart to the dashboard, in up to six rows of charts. Click a bar or slice to see the records behind it.

Reports only show what a report can safely show: no door codes, payment links or other secrets, and no names from the accident book. With more than one hall, Reports is for those who look after every hall.

1 Open Reports Under Committee. Browse the library by subject, or search.
2 Open a report See it as a table or chart, and export it as a spreadsheet or PDF.
3 Build your own Choose the subject, the columns, conditions, grouping and totals, and save it.
4 Pin it Put its chart on the dashboard.

For example: Before the AGM the treasurer opens “Income received by month”, exports it to Excel for the accounts, and pins “Hours booked by room, month by month” to the dashboard. The chair builds “Bookings by hirer type this year” as a pie chart for the annual report.

Frågor folk ställer

Why is a report empty?
Its conditions may rule everything out, or the records it reports on have not been entered yet. Open it in Build a report and look at the conditions.

Who can see Reports?
Committee members whose role includes money, and administrators. With more than one hall, only those who look after every hall.

Do demo records show in reports?
Yes, while they are there, so you can try Reports out. Remove the demo data on Demo Data before you rely on the figures.
