Printed letters

For the things that still go by post, or for members who never read an email. Write a letter once with fill-in fields, choose who it is for, and Pavilion makes one PDF with a page for each member: the club’s name and logo at the top, the member’s address where a window envelope shows it, the date, then the letter.

1 Open Printed Letters Go to Comms → Printed Letters. Four letters are there to start with: a renewal reminder, a welcome letter, an outstanding balance letter and an AGM notice. Change them to suit, or press + New letter.

2 Write it with fill-in fields Click a field such as {first_name}, {renewal_fee} or {balance} to drop it in at the cursor. Each one is replaced with that member’s own details. Leave a blank line between paragraphs, then Save letter.

3 Choose who it is for Every active member, one membership type, members who owe money, members whose renewal is due in the next 60 days, members not yet paid this year, members with no email address, or members you pick from the list.

4 Make the letters Download a PDF gives one file to print, a page each, in surname order. Open a page to print shows the same letters in the browser with a Print button.

The club heading uses the club name, address and logo from Settings → Club. The members’ addresses and vehicle registrations come from their records.

Common questions

A member has no address on file. What happens?: They still get a letter, with just their name at the top, so it can be handed over at the club. The “no email address” choice is the quickest way to find the members who most need a printed letter.
Where does the vehicle registration come from?: The new Vehicle registration box on each member’s record, just under their address. It is optional, and it is wiped with the rest of their personal details when a record is removed.
Is there a limit?: Up to 500 letters at a time. For a bigger run, choose a smaller group, such as one membership type, and make it in two goes.
