Two questions in one screen: what the clubhouse costs to run, and what it will cost to keep.

Meters

Register each meter — electricity, gas, water, oil — with its unit, supplier, tariff and contract end date. Anybody passing can take a reading. From two readings Pavilion works out consumption a day, what that costs at today’s tariff, and the same period last year, which is the number that actually tells you something.

A reading that implies an implausible jump is flagged, not refused. A genuine reading that gets rejected is worse than a wrong one that gets queried — tell the club with a real leak that its reading “can’t be right” and it stops reading the meter. Tick meter reset when a meter is swapped or rolls over, or the next figure reads as consumption falling through the floor.

Asset values and replacement

Give each item an expected life and Pavilion works out its written-down value at any date, straight line. Straight line only: reducing balance needs a rate nobody at a bowls club can justify and never reaches zero.

The ten-year replacement plan is what a reserves policy is built from — what falls due each year and what it will cost. Record a disposal and the item leaves the stock-take, the value total and the insurer’s list, which it did not before.

Contract watch

Energy contracts and insurance renewals sit above both tabs, because it is the only thing on the page with a deadline. Being rolled onto a standard tariff by inattention is the most expensive thing a club does by accident.

Common questions

The cost figures do not match our bills.

They are not meant to. The screen says “at today’s tariff” because the question it answers is should we switch. What you actually paid is in the accounts, where it belongs.

Can I delete a wrong reading?

Yes — unlike a club check, which is evidence a duty was carried out. A reading is a measurement, and a mistyped one poisons every average drawn from it for ever.
