Guests and their fees on the tablet

A Guests & fees section appears on the steward dashboard whenever guests are signed in for the day. It shows each guest, whose guest they are, which rink to look at, what is owed, and whether it has been taken — with the buttons to settle it right there.

A line across the top counts what is still outstanding, so the answer to “is there any money to collect?” is one glance rather than a trawl through the guest log.

The four buttons

  • Cash on till and Card on till — rings the fee up properly. It lands in the takings, on the Z-read and against the host member, and a receipt slip appears which can be printed or simply closed. These only show if the club has a till and a session is open.
  • Cash to steward — for a club with no till, or with the till shut. The fee is marked settled and no sale is created.
  • Waive — a county official, somebody being shown round, a guest the captain has invited. Marked settled with nothing taken.

Only the two till buttons touch the till. Marking a waived fee as a sale would put money in the drawer that is not in it, and the drawer would come up short by exactly that much at cash-up.

Common questions

The till buttons are not there.
Either the club is on a plan without the till, or the steward has no permission to use it. The cash and waive buttons are always available, because a guest fee gets collected whether or not there is a till to ring it into.
It says no till session is open.
A sale cannot be recorded into a drawer nobody has opened. Either open the till first — the Cash up button does it — or take the fee with Cash to steward and put it in the tin.
Does the guest need the receipt?
Rarely, which is why it is offered rather than printed. The slip appears on screen with a Print button; closing it is a perfectly good answer and the sale is recorded either way.
Somebody tapped it twice.
The second tap is refused and says the fee was already taken. Two stewards on two tablets at a busy gate is exactly the situation this is guarding against, so nobody is charged twice.
A guest was marked paid by mistake.
Tap Not paid on their row to put it back. Note that this only changes the guest record — a sale already rung into the till has to be refunded on the till, under Till & Shop, because the money really is in the drawer.
A guest is not showing at all.
They are only listed once signed in for the day, from the sign-in screen or the kiosk. A guest nobody has signed in has no record to attach a fee to.
The fee is wrong.
It is taken from the guest’s own record, which uses the club’s guest fee at the time they were signed in. Change the standing amount under Settings; changing it does not alter fees already recorded.
