⏰ Session Management

Sessions define the named time slots that appear as rows on the booking grid. For example: Morning (10:00–12:30) and Afternoon (14:00–17:00), each running on different days of the week.

Session fields

  • Name — shown on the booking grid (e.g. “Morning”, “Afternoon”)
  • Start / End time — the playable window for this session
  • Arrive time — shown as a green pill on the booking grid to remind members to arrive early (e.g. 09:45 for a 10:00 start)
  • Days of week — tick which days this session runs
  • Sort order — controls top-to-bottom order on the booking grid
  • Active / Inactive — inactive sessions are hidden from new bookings but historical records are preserved

Managing sessions

Use + Add Session to create one, or Edit against a row to change it — the form opens with the session’s current name, times, days and sort order ready to adjust. Deactivate hides a session from new bookings while keeping its history; use it in preference to deleting a session that has bookings. Delete removes a session entirely, but only when nothing is linked to it — if any bookings, rota slots or volunteer-availability entries still reference the session, deletion is blocked and you are told exactly what is in the way, so a record is never left orphaned.

Common questions

Can I have different sessions on weekdays vs weekends?
Yes. Create one session for weekday days and another for weekend days, each with their own start/end times and day-of-week settings.
What is the arrive time used for?
It is displayed on the booking grid as a reminder and printed on day sheets. It does not affect when members can book — only the start/end times do that.
What happens to existing bookings if I delete a session?
Deleting a session is not recommended if it has bookings — those records will lose their session link. Deactivate the session instead.
