🧭 A day on the bar, start to finish

The whole cash cycle for one session: opening the drawer, serving, and cashing up so the money balances.

1Start your shift
On the club tablet, tap your name on the Duty Steward screen and enter your duty PIN. The guest fees you take and the arrivals you mark then carry your name. End shift at the top locks it again for whoever is on next.
2Open the till
Count the change you are starting with and enter it as the starting float — from Till on the Duty Steward toolbar, or from Till & Shop → Cashing up. Until a session is open, the till will not take any money at all. That is deliberate: without a known starting figure, nothing can be reconciled at the end.
3Serve
Tap items to build the basket. The running total is always on screen, and quantities can be nudged up and down on any line.
?Is it for a member?
Tap Member and search their surname if it matters.
Just a passer-by Skip it — the sale is recorded without a name.
Member prices apply Attaching them re-prices the basket at member rates.
They want it on account You must attach the member first; otherwise the on-account option will not accept the sale.
?Take the money
Tap Take payment and choose how it was paid.
Cash Tap what they handed over — the exact amount, the next round pound, or a note — and the change to give appears in large type.
Card Take it on your own card machine as usual and tap Card. The till records it so the two agree at cash-up.
On account It becomes a charge on their statement, to be settled like any other.
A bit of each Tap Split it and put in how much is coming from each — including a member’s account, if part of it is going on the slate. It stays one sale with one receipt, and only the cash part counts towards the drawer.
6Receipt
A receipt can be printed there and then, or emailed to a member. Most people will not want one — that is fine, the record is kept either way, and if someone comes back for it later, Reprint a receipt on the till will find it.
7Cash in or out during the session
If you take money to the safe mid-session, fetch more change, or pay someone out of the till, record it under Cash in and out. Skipping this is the single most common reason a drawer appears short at the end when nothing is actually wrong.
8Cash up
At the end, go to Cashing up and enter how many of each note and coin are in the drawer. The total builds as you type and is compared with what the till says should be there.
?Does it balance?
The difference is shown as you count.
Balanced Set the float to leave for next time, confirm what goes to the bank, and close.
A few pence out Normal. Close it and note why if you know.
Badly out Before closing, check for a cash movement nobody recorded, a card sale rung up as cash, or a refund given from the drawer. Then close with a note — the variance is a record, not a failure.
10Done
Closing writes a Z report that can never be altered: the takings, the split by category and item, the count, the variance and what was banked. If you have asked it to, the takings also post straight into the club ledger.
💡 Tip: Open the till at the start of a session, not the start of a day. If the bar opens twice with different people on duty, two sessions give you two clean cash-ups and a much better chance of spotting where a discrepancy came from.

Common questions

The till says no session is open — what now?
Someone needs to open it and enter the starting float. Anyone with permission to use the till can do this from the tablet itself, so you do not need to find an administrator.
Can two people serve at once on the same till?
Yes, on separate devices — both are ringing up against the same open session and the same drawer. Only set up a second named till if there is genuinely a second drawer counted separately.
We forgot to cash up last night.
The session simply stays open. Cash up when you find it — the figures are all still there. The only cost is that last night and this morning are lumped into one session rather than two.
Why will it not let me take money before opening the till?
Because there would be nothing to reconcile against. Without a starting float, “the drawer should hold £180” is an unanswerable question, and the cash-up becomes guesswork.
Someone paid half cash, half card.
Tap “Split it” on the payment screen. Enter each part — or tap “rest” to drop the remainder into one — and the sale will not complete until they add up to the total. Only the cash part is counted as cash when you come to cash up, so the drawer still balances.
