Pavilion can automatically send email reminders for renewals and rota duties on a schedule you control.

Renewal reminders

Sends the Membership Renewal Reminder email to all members whose renewal is due within a set number of days. Configure the trigger window (e.g. 30 days before renewal) and Pavilion will check daily and send reminders as the window approaches.

Rota reminders

Sends the Rota Reminder email to volunteers assigned to rota slots for tomorrow. Run this from the Weekly Rota toolbar (✉ Send reminders), or let the daily scheduler run it automatically.

Editing reminder emails

Go to Settings → ✉ Email Templates to edit the subject and body of any reminder email. Use {variable} placeholders to include member name, renewal date, role name and other dynamic data.

Common questions

How do I stop a reminder going to a specific member?

Mark their renewal as paid (Members tab → Mark paid), or change their status to Active. Pavilion only sends renewal reminders to members with an outstanding fee.

Can I customise the reminder email text?

Yes — Settings → ✉ Email Templates → Membership Renewal Reminder or Rota Reminder. Edit the subject, body and variables to suit your club’s tone.
