Everything the club sells, and what it costs. Each item can carry a member price, a cost price and its own stock settings.
The fields that matter
- Price โ what a visitor pays. If VAT is switched on, this is the VAT-inclusive shelf price, exactly as a bar price list works.
- Member price โ optional. Left blank, everyone pays the same. It only applies when member pricing is on and a member is attached to the sale.
- Cost price โ what the club paid. This is the only thing that makes the margin columns meaningful, and booking in a delivery keeps it current for you.
- Keep track of stock โ for countable things: bottles, cans, crisps, shop goods. Leave it off for anything poured, made to order or charged as a fee.
- Reorder at โ when stock falls to this, the item appears under “Running low” on the Till dashboard.
- Show as a button on the till โ untick for something you want on the books but not cluttering the serving screen.
- Barcode / code โ the code printed on the item. With a scanner attached, scanning it at the till adds it to the basket. Click into the box and scan the item to fill it in rather than typing thirteen digits by hand.
- Order on the till โ only used when the till is set to the custom arrangement; the A to Z and grouped arrangements ignore it.
- Still sold โ untick to retire an item. It disappears from the till but keeps all its sales history.
Retiring versus deleting
Untick Still sold in almost every case. Deleting removes the item and its stock history; past receipts are untouched either way, because every sale keeps its own snapshot of what was sold and at what price. That snapshot is why changing a price today never rewrites what last month’s receipts say.
Common questions
- Why can I not edit the stock figure here?
- Stock only moves through the stock ledger โ a delivery, a sale, wastage or a stocktake โ so that every figure can be explained. Editing it directly would let the number and its history disagree, and then neither could be trusted.
- If I put the price up, do old receipts change?
- No. Every sale stores its own copy of the name, price and category at the time, so history is fixed. Only future sales use the new price.
- Two items ended up with the same barcode.
- Pavilion flags it at the top of the price list, because a scanner can only ever pick one of them and will always land on whichever comes first. Give them separate codes, or clear the one that does not belong.
- How do I sell the same drink as a pint and a half?
- As two items โ “Bitter โ pint” and “Bitter โ half”. They are different prices and different buttons, so they are different lines.
- What sort of margin should we aim for?
- That is a decision for your committee, not for Pavilion. The reports show what each line actually earns so the conversation can be had with real numbers rather than impressions.
