Categories group the price list. They do three jobs at once: they decide the colour and grouping of the buttons on the till, they become the headings on your cashing-up report, and โ€” if you post takings to the accounts โ€” they can become the ledger lines.

Getting them right

  • Aim for a handful. Six to nine works well; twenty makes the till harder to use, not easier.
  • Group by how you want to read the takings, not by what things are. If the committee wants to know bar versus kitchen versus shop, those are your categories.
  • Give each a distinct colour. Stewards find buttons by colour far faster than by reading them.
  • The order number controls where a category sits on the till. Put your busiest first.

A category cannot be deleted while items still sit in it โ€” move or remove them first. That is a guard against silently orphaning half your price list.

Common questions

What happens to sales if I rename a category?
Past sales keep the category they were rung up under, so old reports stay consistent. New sales use the new name.
Can I start again?
Yes โ€” “Reset to defaults” restores the Pavilion starting set. Items already on your price list keep whichever category they are in, so nothing is lost.
Do I have to use the defaults at all?
No. They are a starting point for a typical club. Rename them, delete them and build your own.
