Linking names already on the books

Under Settings → System → Link Players. A one-off tidy-up for bookings made before Pavilion started offering the link as names were typed.

It lists every player name on the books with no membership behind it, grouped by the name — so a name appearing on forty bookings is one decision, not forty. Against each you get how many bookings it covers and the span of dates, which is what settles a borderline case: forty bookings across three seasons is plainly a member, one last April is probably a visitor.

Choose a member where you are sure, leave the rest alone, and press Link the chosen names. Nothing is changed until you do.

Worth doing once: every name it links restores that person’s bookings to their own app and puts their past visits back into the Bowlers & Rink Usage figures, which until then undercount every month before this release.

Common questions

Is it safe to run twice?

Yes. Only entries that currently have no member are touched, so a second run changes nothing already done, and a link somebody has since made by hand is never overwritten by a bulk decision here.

Two members share a name.

Both are offered, with membership numbers, and the row says how many share it. It will not choose for you — picking wrong would move somebody else’s bookings into a stranger’s app, which is worse than leaving them as text.

Most of my list says “probably a guest”.

That is the expected answer for visitors, and those rows are right to stay as they are. Guests genuinely have no membership behind them.

Can I undo it?

Not as a single button. A wrong link is corrected by opening the booking and changing that player, which is why the tool asks you to choose rather than guessing on your behalf.

Will members be told about old bookings appearing?

No. Linking changes the record, it does not send anything. A member may notice past bookings in their app the next time they look, which is the point.

The list is very long.

It shows the three hundred most common names, busiest first, so the ones worth deciding come first. Deal with those, press Link, and the rest move up.
