The document library publishes club documents โ rules, constitution, AGM minutes, forms, policies โ to members without emailing attachments round. Manage it from ๐ Documents and put [pvl_documents] on the member portal to show it.
Who can read what
Each document is Public, Members or Admin only โ and from 10.50.2 that setting decides who may open the file, not merely who is shown the link.
It used to decide only whether the link was drawn. The file itself sat at an ordinary WordPress media address, which is public and guessable, so the AGM minutes marked “Members” could be read by anybody who had the address or found it. Files are now kept in a private folder with an unguessable name and are handed over only after Pavilion has checked who is asking.
Documents you already had
They go on working, and they are still at their old public address until you move them. The Documents screen shows how many, and a button moves them into private storage in batches.
It is not done for you on upgrade, deliberately. A club may have linked one of those addresses from its own website or an old newsletter, and breaking those links without being asked would be worse than the problem for a document that was public anyway. You choose when.
A file that is in use on one of your own pages is copied but not removed, and is listed as still public โ Pavilion will not break your website to tidy its own storage. Go and repoint that page, then move it.
External links
A link to Google Drive or Dropbox is somebody else’s address and Pavilion cannot restrict it. If it needs to be members-only, whoever hosts it has to say so.

- Yes โ set Access to “Admin only” on any document. Members-only docs require login.
- Can I link to a Google Drive file?
- Yes โ choose “External link” as the source type and paste the shareable Google Drive URL.
