Help assistant (AI)

The help assistant is an optional AI helper in this help panel. Type a question in the “Ask the help assistant” box and it replies using only Pavilion’s own help content — the same topics and FAQs you can read here. It won’t invent features or pull in information from elsewhere, so its answers stay true to what Pavilion actually does.

If you ask about something the help — and therefore the software — doesn’t cover yet, the assistant tells you it isn’t available and automatically raises a feature request for the Pavilion team, tagged with the category “AI”. That way, the questions members actually ask turn straight into a list of possible improvements.

Turning it on

An administrator enables it under Settings → Integrations → Help assistant (AI). The easiest option is Google’s Gemini free tier: go to aistudio.google.com, sign in with a Google account, choose Get API key, create a key and paste it in — no credit card needed, and a club’s usage comfortably fits the free allowance. (Anthropic and OpenAI can be used instead if you prefer, but they’re paid.) Feature requests are raised through your existing support connection, so that needs to be connected for the automatic tickets to be sent. Until it’s switched on, the assistant box simply doesn’t appear.

Get a free Google API key — step by step

  1. In a new browser tab, go to aistudio.google.com/app/apikey.
  2. Sign in with a Google account (any Gmail works, and it’s free to create one).
  3. Accept Google’s terms if you’re prompted on your first visit.
  4. Click Create API key.
  5. If it asks about a project, choose Create API key in new project — Google sets one up for you.
  6. Copy the key that appears (a long code starting AIza…).
  7. In Pavilion, go to Settings → Integrations → Help assistant (AI), paste it into the API key box and save.
  8. Tick Enable assistant, save again, then open any Help “?” and ask a question.

Keep the key private, like a password. No credit card is required, and you can delete or regenerate it in Google AI Studio at any time.

Common questions

Where does the assistant get its answers?
Only from Pavilion’s built-in help topics and FAQs. It is deliberately limited to that, so it can’t give you answers about things Pavilion doesn’t do.
What happens if it can’t answer my question?
It tells you the feature isn’t available and logs a feature request (category “AI”) for the Pavilion team through your support connection. Repeated questions about the same thing are grouped so you don’t get duplicate tickets.
Does it cost anything?
Not if you use Google’s Gemini free tier — create a free API key at aistudio.google.com with no card required, and a club’s light usage stays within the free allowance. Anthropic and OpenAI are paid options if you prefer them.
Is my data sent anywhere?
When you ask a question, that question and Pavilion’s help text are sent to the AI provider you configured (e.g. Google) to generate the answer. Nothing else about your club is shared. Note that free-tier providers may use API inputs to improve their services, so avoid typing personal data into the box.
