Stock

Keep track of parts and materials wherever they live — the van, the lock-up, the garage. Add your items once, then book deliveries in, move stock between places, and record what you use on each job. Materials used on a job go onto its invoice at your selling price. A stock take corrects every location to what is really there. Items you put on a quote are held for it until the quote is accepted and invoiced, declined, or runs past its “Valid until” date. Labour, time and services can be items too: untick “Count this item’s stock” and they only supply a price.

For example: 10 × 15mm copper pipe (3m) arrive at the lock-up. Move 4 to the van. Use 2 on Mrs Patel’s radiator job: the van now shows 2, and “Invoice this job” adds 2 × copper pipe at your selling price.

Questions people ask

Why can’t I use more than the van has?
So the numbers stay true. If the van really has more, do a quick stock count for the van first, then record what you used.

I took too much to the job.
Open the job and press “Bring back” next to the item. It goes back into the location you choose and comes off the job.

What does the low-stock level do?
When the total across every location drops to that number or below, the item shows in red and on the dashboard. Leave it at 0 to never warn.

Can I delete an item or a location?
You can archive it. Its history is kept, it just stops appearing in the lists. A location must be empty first.
