The report library
Reports is where you ask questions of your own records — not just money, but clients, pets, vaccinations, the round and the rota.
The library opens on subjects. Pick one to see the reports filed under it, each card saying what question it answers. Open a report and you get the answer straight away, with the chart above the figures where there is one.
Keeping one to hand
The ★ on a card, or the Keep to hand button on the report itself, pins it to your own shortcuts. It is yours, not the business’s: whoever does the books and whoever runs the round want different reports within reach.
Getting the figures out
Every report exports as CSV, Excel or PDF, from the rows you are looking at rather than from a fresh query — so what you read and what you send are the same thing.
Charts on the dashboard
A report with a chart can be pinned to the dashboard with Put on the dashboard. Charts sit three to a panel, and you can have up to six panels — the ⚙ on a panel chooses which charts appear on it. A chart belongs to one panel only, so the same figure can never appear twice claiming to be two.
Example
A groomer opens Pets, runs “Vaccinations running out”, exports it to CSV and sends the list to whoever does the reminders — then stars it so it is one click away next month.
FAQ
Why does my report say “showing the first 5,000”?
That is the cap on a single run, so a very large report cannot slow the site down. Add a condition to narrow it — a date range usually does it — or export it, which is normally what you wanted with that many rows anyway.
Nothing matched. Is it broken?
Probably not, but check the conditions before you report it as the answer. A common cause is typing a value by hand where the data uses a different wording; where the field offers a list, pick from the list.
Can I change a report that came with the plugin?
Yes. They are yours the moment they arrive — edit, rename or delete any of them. Opening the nearest one and changing it is usually quicker than starting from scratch.
Why can I not delete or save reports?
Saving, deleting and arranging the dashboard need the “Manage business” permission. Anyone who can use the staff app may run and export reports.
Why does the invoice report disagree with the invoice list?
The report shows the status last written to the invoice, while the list recomputes it from the payment ledger — they differ on part-paid invoices. Report on Payments when you want what actually arrived.
