Bank reconciliation

Match bank transfers to what your customers owe and mark it paid. Pet Central → Bank reconciliation lists everything outstanding — unpaid invoices and booking deposits awaiting payment. Tick an item off by entering the bank reference, the date it landed and an optional note, then Mark bank-paid. Invoices get a receipt and fire your paid automation just as a card payment would; deposits flip to paid on the booking.

If you bank each service separately, add a bank account for each (e.g. “HSBC – Grooming” linked to the Groomer role). Then the CSV import wizard works per account: pick the account, map its columns once (which is date, money-in amount and reference, plus the date format) and that layout is remembered on that account — so each bank’s format is stored independently. Money-in lines are matched first against that account’s role, though you can still pick any outstanding item in the dropdowns.

Example

You add two accounts — HSBC for grooming, NatWest for walking. Each Monday you upload both CSVs against their accounts; the layouts are recognised automatically, grooming payments match grooming work and walks match walks, and the week is reconciled in a couple of minutes.

FAQ

Do I have to set up accounts?
No — you can import without one and match across everything. Accounts are for when you bank services separately and want each layout and role remembered.

My dates import wrong (day/month swapped)?
On the mapping step choose the date format — Day first (DD/MM/YYYY) for UK statements, Month first for US.

What if a payment belongs to the “wrong” role?
The match dropdown always lists every outstanding item, so you can pick anything — the role only sets the default suggestion.

Do you store my account number?
No — only the last 4 digits, as a blind reference, never the full number.

Does it move money?
No. It only records that a payment arrived and marks the invoice or deposit paid.
