Rebooking prompts

Grooming and walking are repeat businesses, and the rebooking rate is the business — a dog groomed every six weeks is worth eight or nine times a dog groomed once. Almost nobody chases it, because chasing it means remembering, on the right day, for every pet on the books.

This works out when each pet is next due from when it was last in, and sends one message a little before that date with a link to book.

What it will not do

More important than what it sends. It never writes to somebody who has already rebooked — being chased after you did the thing reads as nobody paying attention. It asks once per cycle. And it gives up: after a couple of missed visits it stops for that pet.

That last one is deliberate and it matters. Somebody four visits overdue has usually moved away, gone elsewhere, or lost their pet. None of those is a reason to keep writing, and software that cheerfully asks a bereaved owner to book their dog in, every six weeks, for ever, is the worst thing it could do. You can set how patient it is, and you can exclude any pet outright from the same screen — which is where you would go the moment you found out.

See it before you switch it on

The screen lists exactly who would be written to today, and for everyone else, the reason they were left out. That is the whole list, not a sample. Read it, then decide.

How often

Set a usual gap for the business, a different gap per service if a nail trim comes round faster than a full groom, and a per-pet gap where one dog simply needs more.

1
Set the usual gapSix weeks suits most grooming; walkers and trainers will want their own number.
2
Adjust it per service if it differsBlank means use the usual gap.
3
Read the listIt shows who would be written to today and why everyone else was skipped.
4
Switch prompts onOne message per pet, a week or so before they are due.

Example

A groomer sets six weeks and a seven-day lead. Bella was last in on the 1st; on the 5th of the following month her owner gets one email with a booking link, and the diary fills a fortnight ahead instead of a week.

FAQ

Will a client be pestered?
No. One message per cycle, never if they have already booked, and it stops entirely after a couple of missed visits.

A client’s pet has died. What do I do?
Open Rebooking, find the pet in the list and press Never prompt. Nothing further will be sent about that pet. Prompting would also have stopped on its own after a couple of missed cycles, but do not wait for that.

Can I see what would go out before turning it on?
Yes, and you should. The list on the screen is exactly who would be written to today, with a reason beside everyone who would not.

Does it text as well as email?
Only if you tick the box, and only where there is a mobile number on file.

What if one dog needs a different gap?
Set it per service, or per pet where one dog genuinely differs. The pet’s own setting wins, then the service’s, then the business default.
