Who rents a table, and when
A letting records who has a table, on which days, and between which dates. It sits at the bottom of Groomer — Tables.
Why it is a separate thing from their bookings
Fixed rent is owed for having the table, whether or not a single dog comes through the door. That is the whole reason to offer a fixed rent rather than a share: a quiet fortnight is the renter’s problem, not yours. So the rent has to be counted from the arrangement, not from what they happened to groom.
Commission is the other way round. A percentage of takings really is a function of what was taken, so that half is still worked out from their bookings.
What to fill in
Who and which table — or Any table where they use whichever is free. Which days they have it. From, and optionally Until; leave Until empty for an open-ended arrangement.
Guest days and school placements
A letting says what it is as well as who has it. A guest or specialist day and a school or student placement are lettings of the same space on a different footing: they have no rental terms, so they are charged at a day rate set on the letting itself, and they appear under Guest and school days on the Table Rental page.
Neither usually has a login, so you can name them instead of picking a team member. That gives them the space — but taking bookings through your diary needs a team account, so add them under Team if the diary has to know about them.
A groomer renting from you does have to be on the team, because their terms live on their record. And a team member down for a guest day is not thereby a renter: their commission is untouched.
If you do not record one
Nothing breaks, but the rent report falls back to counting the days they had a booking, and marks the row with a ⚠ to say so. That will undercharge any period where they were quiet.
Example
A groomer rents the window table on Mondays and Wednesdays at £50 a day. September has nine of those, so £450 is due — the same £450 whether she grooms thirty dogs or, the fortnight her van broke down, none.
FAQ
She was away for two weeks — do I still charge her?
On a fixed rent, yes, and that is what the letting is for. If you agreed to waive it, end the letting and start a new one after the gap, and those days drop out of the total.
What if she uses whichever table is free?
Choose Any table. The letting is about what she pays for, not about which piece of furniture she stood at.
The Tables screen says the diary has no hours for a table.
Availability is set up by named resource on the Availability screen, and the two lists only ever meet by name. A table the diary has never heard of cannot be booked onto. Add it there, or check the spelling matches.
Why are tables and availability resources two lists?
Because the availability list is each table or groomer — it can hold people. Folding it into the tables list would throw that away, so they stay separate and the Tables screen reports where the names disagree.
Can somebody have two lettings?
Yes — two days on one table and a third on another, say. A day covered by both is still one day of rent.
A guest day shows no charge.
No day rate was set on that letting. Remove it and record it again with a rate — guest and school days are charged by the day rather than by rental terms.
Does removing a letting undo an invoice?
No. Invoices already raised stay exactly as they were; only future totals change.
