Key custody
Your key-safe records say which code opens which box. This says something more important: who is holding the actual key right now.
Why it matters
It is the first question asked when one goes missing and the question an insurer asks. “One of us has it” is not an answer. A key signed out to a named person at a known time is.
A key cannot be in two pockets
Signing a key out automatically signs in any earlier holder of the same key, because a log that says two people hold it is worse than no log — it would be believed.
