Invoice template

This screen designs the piece of paper. Everything on it is read by the invoice your customer opens, prints, or gets as a PDF — there is no second place to fill any of it in.

What prints where

The company name, address and contact print at the top, beside the word INVOICE. The same details, plus the website and the VAT / company number, print again along the bottom of the page, on one line, as the footer.

The bottom line is the one that matters after the invoice leaves your hands. A printed invoice ends up in a drawer, and the customer who finds it three weeks later needs a way to answer it — that is the email, the phone number and the website.

The same settings as Settings → General

The company name, address, telephone and email are one set of settings shown on two screens. Edit them here or on Settings → General, whichever you are on — the other screen shows what you typed.

Only what is filled in is shown

Nothing prints an empty label. A business with no VAT number does not get a blank VAT line; leave the field empty and it is simply not there.

Socials come from the Socials screen

Facebook, Instagram, X and TikTok are not on this screen — they are set once under Settings → Socials and used everywhere, the invoice included. Each one you have filled in prints as its own mark on the footer’s second row.

Check it on paper, not on screen

Print your latest invoice opens your most recent real invoice through the customer’s own link, with the print dialog ready — so what you are looking at is what they get, not a drawing of it. Print one before you send an invoice to anybody: colours, borders and footers all behave differently on paper.

1
Fill in the company name and addressThese head the invoice and open the footer line.
2
Fill in the telephone and emailTwo boxes, on this screen or on Settings → General. They are the same settings.
3
Add the websitePrinted in the footer without the https:// in front of it.
4
Add the VAT / company number if you have oneLeave it empty if you do not — no empty label prints.
5
Set the accent colour and logoThe colour draws the boxes and the headings.
6
Set the socials under Settings → SocialsNot here — they are used across the whole plugin.
7
Print your latest invoiceThe real one, as the customer sees it. On paper — colours and borders behave differently from the screen.

Example

A salon printed an invoice and found the footer carried only the business name and address. The email, phone and website had never been asked for anywhere: they are collected here, in Contact and Website, and once filled in they print on every invoice from then on.

FAQ

My footer only shows the name and address.
The Contact and Website fields on this screen are empty. Fill them in, save, and print a test invoice.

I set the telephone on Settings → General — do I have to set it here as well?
No. They are one setting shown on two screens, like the address: edit it wherever you happen to be and the other screen shows it. Older sites had a single “Contact” box holding both; it is split onto the two fields for you the first time you open the admin, and what you originally typed is kept.

Where do the Facebook and Instagram marks come from?
Settings → Socials. They are shared by the invoice, the portal and the emails, so they are set in one place rather than four.

Can I stop the footer printing?
Leave the fields you do not want empty. Anything blank is left off the line entirely.

What is the difference between the footer here and the Footer / payment terms box?
The Footer / payment terms box is your own words — “Payment due within 14 days”, say — and prints above the contact line. The contact line is built from the fields above it.

Is the accent colour the same as my app colour?
It starts as your theme colour, but it is separate. Print is not a screen; a colour that reads well in the app can be too pale on paper.
