The money, on a finished visit

Step 4 of Finish up: everything the customer is being charged for, and the button that bills it.

Before the invoice

The step is the basket, and it is editable right up to the moment you raise the bill — which is the moment the dog is on the floor and the owner is saying “you had to do the ears as well, didn’t you”.

  • Every treatment with its own price, and each price editable. A price changed here applies to this visit only; the price list is untouched.
  • Add or change treatments — the same picker as the booking, so a de-matting that took forty minutes goes on the bill and on the diary.
  • A discount, amount or percent.
  • Or type the total outright.

Raise the invoice saves whatever is on screen first and then bills it — so a price you changed and forgot to save is still the price the customer is asked for.

After it

The invoice number and what is owed appear at the top, with Take payment and View invoice.

Until anything is paid, it is still editable. A bill sitting on a counter is not yet a record, and “you did the ears as well, didn’t you” is the most ordinary thing that happens next. Change a price, add a treatment, put a discount on, and Update the invoice rewrites it to match.

The moment money is taken it freezes. From then on the invoice is the record, and a record that changes under a customer is worthless. Edit it under Money, or credit it and raise a new one.

Skip leaves the visit unbilled — it stays on your to-invoice list and can be raised from here or from the booking whenever you like.

Example

The groom overran because of matting. The groomer adds De-matting, types £12 against it, knocks £5 off for a regular, raises the invoice for £62 and takes the card — one screen, while the owner clips the lead on.

FAQ

Where did “Leave on invoice” go?
It was there when the invoice was raised automatically, and it never meant much. The bill is now raised here, by you, so the honest options are Raise the invoice or Skip.

I changed a price and it says something different on the next visit.
That is right. A price changed here is agreed for that visit; the treatment’s own price is what the next booking starts from. Change the price list under Services to move it for everyone.

It says there is nothing to invoice.
The basket comes to nothing: a free job, one covered by a package or plan, or one already settled. Add a treatment or type a total if that is wrong.

They are not paying today.
Raise the invoice and tap Skip. It is billed, it is owed, and it will be on your outstanding list until it is paid.

I raised it and the price was wrong.
If nothing has been paid on it, just change it here and tap Update the invoice — the invoice is rewritten to match, and that includes adding or removing a treatment. Once any money has been taken it stops being editable: at that point it is a record, and a record that changes under a customer is worthless. Edit it under Money, or credit it and raise a new one.

The invoice was already there when I got here.
Something else raised it — the admin booking screen, or a billing run. The step shows it and offers payment rather than raising a second one.
